This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our software-as-a-service employee attendance platform — the kiosk app, mobile app, and admin dashboard (the "Service").
1. Information We Collect
The information we collect depends on how you interact with Presenly. We group it into four categories.
Personal Data
Personally identifiable information — name, email, phone — that you voluntarily provide when registering with the Service or when an employer adds you as an employee.
Company Data
Information you provide on behalf of your organization, including company name, number of employees, billing address, and tax identifiers.
Employee Data
As an employer using our service, you may input personal information about your employees (name, position, photo, schedule). You are responsible for ensuring you have the legal right and consent to provide this data to us.
Biometric Templates
When face recognition is enabled, Presenly stores a mathematical face template (an embedding vector) — not the raw photo — for matching purposes. Templates are tenant-scoped and encrypted at rest.
2. Device Permissions (Mobile & Kiosk Apps)
Our apps require specific permissions to function correctly. You can revoke these permissions at any time in your device settings, but some features will stop working.
Location (GPS)
Required for geofencing — verifying that employees are physically present at the assigned site when clocking in or out. Collected only when the app is in the foreground or during a clock-in/out action. Mock GPS is rejected automatically.
Camera
Required for face recognition (kiosk + mobile), liveness detection, and optional photo proof of attendance. The kiosk app uses the camera continuously while in active scanning mode.
Storage
Used to cache attendance events locally for offline-first operation. Events sync to our servers when connectivity returns and are then purged from the device.
Notifications
Used to alert employees of approved/rejected leave requests, upcoming shifts, and admin announcements. Push tokens are stored only on the calling employee's record.
3. How We Use Your Information
Accurate information lets us provide a smooth and efficient service. Specifically, we use information to:
- Create and manage your account.
- Verify attendance using face match, liveness, and geofence rules.
- Roll up working hours by client site for outsourcing invoicing.
- Process payments and generate invoices.
- Detect anomalies (mock GPS, repeated liveness failures) for fraud prevention.
- Improve the Service through aggregate, non-identifying usage analytics.
4. How We Share Your Information
We do not sell your personal information. We may share information with:
- Third-party processors who perform services on our behalf — payment gateways (Xendit), error monitoring (Sentry), and infrastructure providers.
- Your employer's designated admins — attendance data is by definition shared with your tenant admin team.
- Authorities when required by Indonesian law or a valid legal process.
- Acquirers in the event of a merger, acquisition, or sale of assets — with notice.
5. Data Retention & Deletion
We retain personal information only for as long as is necessary for the purposes set out in this policy or as required by law.
Requesting Account Deletion
You can request deletion by:
- Logging into your account settings and selecting Delete Account.
- Emailing us directly at contact@wdnsds.com.
Upon request, we delete your personal data within 30 days, except for data we are required to retain for legal, accounting, or tax purposes.
6. Data Security
We use administrative, technical, and physical security measures to protect your personal information. Specifically:
- TLS 1.2+ for all data in transit.
- AES-256 encryption at rest for biometric templates and sensitive PII.
- Strict tenant isolation — data is scoped by
tenant_idat the row level. - Audit logs for admin actions on attendance, claims, and leave records.
No security measures are perfect or impenetrable. We respond promptly to any incident affecting personal data.
7. Children's Privacy
Our Service is not intended for use by children under 13. We do not knowingly collect personally identifiable information from children under 13. If we become aware we have collected such data without verified parental consent, we delete it promptly.
